AI in Swedish: Writing, Translating and Customer Replies

AI in Swedish guide cover with concentric arcs in blue and amber and the title on the right

Using AI in Swedish is now practical for everyday business writing: customer replies, offers, product texts, meeting summaries and translations between Swedish and English come out fluent and natural from a capable assistant, provided you prompt in Swedish and know where the weak spots are. Those weak spots are specific and predictable: the formality level, compound words, the “du” convention, Swedish-specific formats for dates and prices, and legal or public-sector vocabulary that an assistant may render in a Norwegian or Danish shape.

This guide is for people who run a business, a team or a project that works in Swedish and want to use an assistant without embarrassing mistakes. It covers prompting, writing, translation, customer service, the formats to watch, and the privacy rules that apply in Sweden.

How good is AI in Swedish today?

Swedish is a well-represented language in the training data of modern models: a large web presence, a long tradition of public digital text and a lot of parallel Swedish-English material. The practical result is that general assistants write fluent Swedish for business purposes, with correct gender agreement, sensible word order after adverbials, and natural compounds. Quality drops as topics get narrower: specialised legal, medical and public-procurement vocabulary, regional usage, and very informal registers are where errors appear.

Ask Mio works in 25 or more languages, Swedish among them, and routes each request to the model best suited for it. You write in Swedish, the answer comes in Swedish, and you do not choose a model. The broader approach is in our multilingual AI assistant guide; this article is the Swedish-specific layer on top of it.

Prompt in Swedish, state the register

Two habits matter more than anything else.

First, write the prompt in Swedish when you want Swedish output. A prompt in English that ends with “in Swedish” works, but the result tends to carry English sentence rhythm and English-style politeness. A Swedish prompt gets Swedish rhythm. Our general advice in non-English AI prompts applies.

Second, state the register. Swedish business writing is direct and uses “du” almost universally, even to customers and officials; “ni” as a polite singular is rare and can read as old-fashioned or ironic. Assistants trained on mixed data sometimes default to a stiffer tone than Swedes use. A line such as “Skriv på naturlig, modern svenska, du-tilltal, vänlig men rak” sets it right.

A prompt that works

Skriv ett svar till en kund som frågar varför leveransen är försenad. Du-tilltal, vänlig och rak ton, max 120 ord. Fakta: beställning 4821, ny leveransdag torsdag 23 oktober, orsak: leverantörsförsening. Lägg inte till några löften som inte finns i fakta.

Give facts explicitly, forbid additions, set the length. The same discipline that prevents invented details in English prevents them in Swedish.

Writing Swedish business texts

Customer e-mails and replies

Short, concrete, polite without ceremony. Ask for a greeting with the first name (“Hej Anna,”), a one-line answer up front, details after, and a plain sign-off (“Vänliga hälsningar” or “Med vänlig hälsning”, both common; pick one house style). Avoid asking for translations of English support templates; write them fresh in Swedish from the facts.

Offers and quotes

Swedish offers state prices “exkl. moms” or “inkl. moms” explicitly; ask the assistant to include that and to format amounts the Swedish way (see the formats table below). Include validity (“Offerten gäller till och med…”) and payment terms (“30 dagar netto”).

Product descriptions and web copy

Assistants produce good Swedish product text, but watch compounds: Swedish writes them as one word, and “särskrivning” (splitting a compound into two words) is both a common error and a well-known pet hate. “Kundservice”, not “kund service”. Ask for a final pass: “Kontrollera särskrivningar.”

Meeting notes and summaries

Paste the notes and ask for “protokoll” or “minnesanteckningar” with “beslut” and “åtgärder” listed separately, with an owner and a date for each. This is one of the highest-value daily uses.

Swedish formats the assistant must get right

Most Swedish-language errors from assistants are not grammar; they are formats imported from English. Put these in a standing instruction.

Item Swedish convention Typical AI slip
Date 23 oktober 2026 or 2026-10-23 October 23, 2026; 10/23/2026

For questions of usage and spelling, the Swedish Institute for Language and Folklore, which hosts the Language Council of Sweden, publishes guidance at isof.se; it is the reference to point to when a colleague disputes a form.

Translation between Swedish and English

Assistants translate Swedish to English well, and English to Swedish well for general content. The problems are consistent:

  • False friends and near-neighbours. Danish and Norwegian are close enough that a model under pressure can produce a word that exists in those languages but not in Swedish. Ask for “rikssvenska” and a check for Norwegian or Danish forms.
  • Terminology drift. A term translated three ways in one document. Supply a glossary: “Använd alltid ‘faktura’ för invoice, ‘offert’ för quote, ‘avtal’ för contract.”
  • Over-formal register. English “Dear Mr Andersson” becoming “Bäste herr Andersson” where “Hej Anders” is normal.
  • Public-sector vocabulary. Swedish authorities, forms and legal terms have fixed names. The assistant may paraphrase; ask it to keep official names and verify them against the authority’s own site.

Our guide to AI translation quality describes the review loop; for Swedish, the glossary and the register note are the two most effective additions to it. For anything legal, financial or safety-related, a professional translator or a native reviewer signs off; the assistant drafts.

Customer service in Swedish

Support teams in Sweden commonly serve customers in Swedish and English, sometimes Finnish and Norwegian too. An assistant helps in three ways: drafting replies from facts, translating incoming messages so one agent can handle several languages, and summarising long threads. Keep the facts and the policy in the prompt, forbid promises that are not in the policy, and have the agent read before sending. A project in Ask Mio with your tone guide, your standard answers and your product facts makes every reply start from the same base; the Business plan gives a support team of five shared projects to work in.

Swedish customers expect directness and a concrete next step. “Vi återkommer” without a date reads as evasive; “Vi återkommer senast onsdag” reads as a commitment, so only write it if it is one.

Research and documents in Swedish

Research mode searches the web and cites sources, and it handles Swedish queries and Swedish sources. For Swedish regulation, official statistics or public tenders, ask it to prefer sources on .se domains of authorities and to quote the Swedish wording alongside any summary, so you can check it. Upload Swedish PDFs, contracts, annual reports or long e-mail threads and ask questions about them in Swedish; the document analysis guide covers the mechanics. A Swedish contract summary is a reading aid, not legal advice.

Privacy and Swedish rules

Sweden applies the GDPR, supervised by the Swedish Authority for Privacy Protection, IMY. The practical rules for using an assistant are the same as elsewhere in the EU: no personal data in prompts without a legal basis, no personnummer, no customer lists pasted “just to format them”, and a vendor whose processing you can account for. Ask Mio runs on our own servers, does not use chats or files to train models and lets users export or delete their data at any time. Our EU-hosted AI and GDPR article lists what to document. Public-sector bodies in Sweden also work under the principle of public access to official documents and should check their own guidance before putting any case material into an external tool.

A standing instruction you can copy

Put this in a project’s instructions once, and every Swedish task starts from it:

Skriv alltid på modern rikssvenska med du-tilltal. Datum som “23 oktober 2026”, klockslag med 24-timmarsformat, decimalkomma och mellanslag som tusentalsavgränsare, belopp som “12 500 kr” med “exkl. moms” eller “inkl. moms” angivet. Inga särskrivningar. Hitta inte på fakta, priser eller löften som inte finns i underlaget. Behåll officiella namn på myndigheter, lagar och blanketter oförändrade.

Add your glossary and your sign-off below it. From then on you only supply the facts for each task, and the formatting takes care of itself.

Costs for a Swedish-language team

Swedish text is slightly longer than English for the same content, but point costs in Ask Mio are per answer, not per word: a normal reply is 1 point, a long one 3, a coding answer 5 to 10, an image 20. The free plan gives 600 points a month with Chat and Write; the Chat plan at €5 a month plus VAT adds Research with web search, file uploads and memory; the Business plan at €29 covers five seats with 15,000 points and shared projects. Prices are in EUR and the live pricing page is the reference.

Frequently Asked Questions

Does AI write good Swedish?

For business writing, yes: e-mails, offers, product texts, summaries and general translation come out fluent and natural when you prompt in Swedish and state the register. Quality falls on specialised legal or public-sector vocabulary and very informal language, and formats such as dates and decimals are often imported from English unless you instruct otherwise.

Should I write “du” or “ni” in AI-generated Swedish?

Almost always “du”, including to customers, officials and strangers; this has been standard since the 1970s. “Ni” as a polite singular is rare and can sound dated or ironic. Tell the assistant “du-tilltal” explicitly, because models trained on mixed data sometimes default to a stiffer tone than Swedes actually use.

Can AI translate Swedish contracts and legal texts?

It can produce a useful draft and a plain-language summary, but legal and financial texts need a professional translator or a qualified native reviewer before use. Ask the assistant to keep official names of laws and authorities unchanged, supply a glossary for key terms and check every figure and date against the original.

Why does the assistant sometimes produce Norwegian or Danish words?

The three languages are close and share a lot of vocabulary, so under pressure a model can pick a form that exists in a neighbour but not in Swedish. Ask for “rikssvenska”, request a final check for Norwegian or Danish forms, and keep a glossary of your own terms in the prompt or in a project.

Is it legal under GDPR to use an AI assistant for Swedish customer e-mails?

Yes, with the usual conditions: a lawful basis for the personal data involved, only the data needed for the task, and a vendor whose processing you can account for. Avoid pasting personnummer or full customer lists, and prefer a service that keeps data on its own servers and does not train on your data. IMY is the supervisory authority if you need guidance.

Which Ask Mio plan do I need for Swedish?

Language support is the same on every plan, including the free one, which covers Chat and Write with 600 points a month. Translating uploaded documents, researching Swedish sources with citations and keeping a project with your glossary and tone guide need a paid plan, from €5 a month plus VAT; a team of up to five uses the Business plan.

The Bottom Line

AI in Swedish is ready for daily business use if you do four things: prompt in Swedish, state “du-tilltal” and the tone, give the facts and a glossary, and put Swedish formats for dates, numbers and prices into a standing instruction. Treat legal and public-sector texts as drafts for a native reviewer, and keep personal data out of prompts. Start on the free plan with a few real e-mails, then compare the Ask Mio plans when you want uploads, research and a shared project for the team.
